At Hellcxase Recording Studio, we strive to provide exceptional service and ensure your complete satisfaction. This refund policy outlines our guidelines for deposits, cancellations, and refunds for our recording, mixing, mastering, and production services.
Please read this policy carefully to understand your rights and options regarding payments made to Hellcxase Recording Studio.
1. Booking Deposits
1.1 Standard Deposit Policy
To secure a studio booking, we require a 50% non-refundable deposit of the total session fee. This deposit serves to reserve your session time and allows us to prepare for your project.
1.2 Deposit Purpose
Your deposit guarantees that:
- Your chosen date and time are exclusively reserved for you
- Staff and resources are allocated for your session
- Any requested specialized equipment is available
- Preparation work can be undertaken prior to your arrival
1.3 Large Project Deposits
For projects exceeding 5 days of studio time or €5,000 in value, custom deposit arrangements may be negotiated. These will be clearly specified in your booking confirmation.
2. Cancellation Policy
2.1 Cancellation Timeline and Refunds
Our cancellation policy operates on the following timeline:
- More than 14 days before the session: 75% of deposit refunded
- 7-14 days before the session: 50% of deposit refunded
- 3-7 days before the session: 25% of deposit refunded
- Less than 72 hours before the session: No refund of deposit
2.2 Rescheduling Options
As an alternative to cancellation, we offer rescheduling options:
- More than 7 days notice: Free rescheduling to another available date within 3 months
- 3-7 days notice: Rescheduling available with a 15% rebooking fee
- Less than 72 hours notice: Rescheduling available with a 30% rebooking fee
All rescheduled sessions must be completed within 6 months of the original booking date.
2.3 Studio Cancellations
In the rare event that Hellcxase Recording Studio needs to cancel your session due to technical issues, illness, or other unforeseen circumstances:
- You will receive a 100% refund of your deposit
- We will make every reasonable effort to reschedule your session at a time convenient for you
- If the cancellation occurs less than 24 hours before your session, we will offer a 15% discount on your rescheduled session
3. Service Quality Guarantee
We stand behind the quality of our services and want you to be completely satisfied with your experience at Hellcxase Recording Studio.
3.1 Technical Issues
If technical issues on our part significantly impact your session:
- We will offer additional studio time at no extra cost to compensate for lost time
- If the issues cannot be resolved, we will provide a partial refund proportional to the impacted portion of your session
- Any such issues must be reported to the studio engineer or manager during the session
3.2 Mixing and Mastering Services
For mixing and mastering services, we offer:
- Up to two rounds of revisions included in the standard price
- If you are not satisfied after the included revision rounds, we will offer a third revision at 50% of the standard revision rate
- Requests for revisions must be made within 14 days of receiving the final files
3.3 Project Abandonment
If a client abandons a project after work has begun:
- No refund will be provided for services already delivered
- For incomplete work, a partial refund may be issued at our discretion, based on the percentage of work completed
- Projects with no activity for more than 60 days may be considered abandoned
4. Payment and Refund Processing
4.1 Accepted Payment Methods
We accept the following payment methods:
- Credit and debit cards (Visa, Mastercard, American Express)
- Bank transfers
- PayPal
- Cash (for in-person payments only)
4.2 Refund Processing Time
When a refund is approved:
- Credit/debit card refunds will be processed within 3-5 business days
- Bank transfer refunds may take 5-7 business days
- PayPal refunds are typically processed within 1-3 business days
Please note that while we process refunds promptly, your financial institution may require additional time to reflect the refund in your account.
4.3 Refund Currency
All refunds will be issued in the same currency as the original payment. Any currency conversion costs or fluctuations are the responsibility of the client.
5. Special Circumstances
5.1 Force Majeure
In cases of force majeure (natural disasters, public emergencies, government actions, etc.) that prevent the fulfillment of services:
- Both parties will be released from their obligations without penalty
- Deposits will be eligible for full transfer to a future date
- If rescheduling is not possible, we will issue a credit valid for 12 months
5.2 Health Emergencies
For cancellations due to serious health emergencies:
- With appropriate documentation (doctor's note), the standard cancellation policy may be waived
- A full credit toward future services will be offered
- This credit will be valid for 12 months from the date of the original booking
5.3 Custom Projects
For custom projects with unique requirements, a specific refund policy will be included in the project contract, which may override certain provisions of this general policy.
6. Dispute Resolution
In the event of a dispute regarding refunds:
- Please contact our studio manager directly to discuss the situation
- If the issue cannot be resolved directly, we recommend mediation before pursuing other remedies
- Any legal action regarding refunds must be filed in the United Kingdom, where our business is registered
We make every effort to resolve disputes fairly and to maintain positive relationships with our clients.
7. Policy Updates
This refund policy may be updated periodically. The current version will always be available on our website, and the "Last Updated" date at the top will indicate when changes were made.
The refund policy in effect at the time of your booking will apply to your transaction.
